Terms & Conditions

At Aced It Tutoring, your privacy matters to us. While these Terms outline your use of our services and website, our commitment to protecting your personal information is outlined in our Privacy Policy. By using our Service, you consent to the collection and use of information in accordance with that policy.

1. Enrolment & Agreement to Proceed

  1. By enrolling with Aced It Tutoring, you agree to these Terms & Conditions.
  2. This agreement applies to all parties listed on the enrolment form, who are jointly and severally responsible for all communications and payments relating to the enrolment.

2. Sessions & Fees

  1. All tutoring sessions must be paid for in advance.
  2. Private and Flexible sessions must be paid at the time of booking.
  3. For families not using direct debit, term fees must be paid upfront in full.
  4. Direct debit payments are managed via Ezidebit. A small transaction fee (usually under 70c per week) applies and is disclosed at setup.

3. Tutoring Sessions

  1. Standard and Flexible Sessions:
    • Pre-K to Year 6: 50 minutes
    • Years 7 to 12: 60 minutes
    • Available in centre only
    • Tutors for Standard sessions are allocated consistently to improve learning continuity; changes may be required due to staff changes or unavailability of tutors
    • Standard small group and 2-to-1 sessions are based on stage and subject (Literacy or Numeracy)
  2. Private Sessions:
    • 60 minutes (all students)
    • Available in centre, online, and in-home
  3. DCJ In-home Sessions:
    • 80 minutes (all students)
  4. Tutoring in high school subjects (e.g. science, history, economics) is subject to tutor availability. Please contact us to confirm availability before enrolling.

4. Schoolwork & Session Planning

  1. Students may bring schoolwork but must submit it at least one week in advance via the Student Portal, by email to [email protected], or by bringing it to their session the week before.
  2. Tutors prepare sessions based on each student’s individual learning plan. We cannot support same-day requests without notice.

5. Make-up Credits & Missed Sessions

  1. All sessions are charged, including missed sessions.
  2. Cancellations made with more than 24 hours’ notice will receive a make-up credit.
  3. Standard Session make-up credits must be used during school holiday periods only.
  4. Private and Flexible Session make-up credits may be used during the term (subject to availability) or during holidays.
  5. Cancellations must be made via the Student Portal.

6. Pauses, Disengagement & Cancellations

  1. Standard Sessions: Require 4 weeks’ written notice to cancel enrolment. Notice must be emailed to [email protected]. All fees must be paid up to the end of the notice period.
  2. Flexible and Private Sessions: No lock-in commitment. Sessions can be booked or discontinued at any time without notice.
  3. Standard Sessions Only: Tutoring can be paused for up to 4 weeks per calendar year with advance notice. Direct debit payments will be paused, or a refund issued if term fees were paid upfront.
  4. If a student misses 4 consecutive sessions without contact, we reserve the right to cancel the enrolment.

7. In-home Tutoring

  1. Available in serviced areas only (listed on our website).
  2. Must be booked and paid in advance.
  3. Sessions are 60 minutes (or 80 minutes for DCJ).
  4. Environment must be safe, clean, and distraction-free.
  5. Aced It Tutoring reserves the right to cancel or refuse a session without refund if the environment is deemed unsafe or unsuitable.

8. Discounts

  1. 10% discount applies to students enrolled in multiple weekly sessions.
  2. Families with 2 or more enrolled children receive 10% off total tutoring fees.

9. Fortnightly Tutoring

  1. Not available in Standard sessions.
  2. Offered only as Private or Flexible sessions (subject to availability).

10. DCJ Funded Students

  1. Additional charges apply.
  2. Sessions can be delivered in-centre, online, or in-home (80 minutes for in-home).
  3. Email [email protected] for referral/approval options.

11. Student Supervision & Centre Safety

  1. Parents/carers must check in and collect children under 10 years old in person from the centre.
  2. It is the responsibility of the parent/carer to ensure the safety of their child when arriving at and leaving from our centres.

12. Access to Session Info, Progress & Billing

  1. Tutor session notes, upcoming sessions, and account details are available via the Student Portal.
  2. If you require a printed invoice or alternate communication method, please contact us.

13. Learning Plans & Progress Tracking

  1. All students receive a customised Individual Learning Plan.
  2. Student progress is tracked using NSW curriculum-based learning progressions.
  3. You can monitor progress by:
    • Reading session notes in the Student Portal
    • Requesting additional feedback via email
    • Booking a meeting with a Head Tutor (if required)

14. Privacy & Confidentiality

  1. Personal information is handled in line with the Privacy Amendment (Private Sector) Act 2000.
  2. We may disclose relevant information to educational or professional bodies only as necessary and appropriate.
  3. All information remains confidential during and after your enrolment.

15. Try Tutoring Sessions

  1. We offer free Try Tutoring sessions during both term time and school holidays.
  2. Dates are posted on our website, email newsletters, and social media. Check regularly for updates.

16. Indemnity

  1. Aced It Tutoring disclaims liability for loss or damages arising from the use of our services to the full extent permitted by law.
  2. All tutoring is offered in good faith, and while we strive to support student improvement, results are not guaranteed.
